The 4 best scheduling apps for coaches and consultants (2026)
TidyCal is the best scheduling app for coaches who charge for sessions. Clients pay when they book, buy session packs and subscribe monthly, all on the Free plan, and Individual Lifetime is $29 once. Pick Acuity if you run an intake-heavy practice, Calendly if you only need a free discovery-call link, and Cal.com if you want open source.
A coach does not just need a booking link. You need clients to pay before the call, buy sessions in bulk, and get reminded so they show up. I make TidyCal, so it's listed first. Each tool below says what it does better than us.
| # | Tool | Best for | Starts at |
|---|---|---|---|
| 1 | TidyCal Best value | Solo pros who charge for their time | $29 once |
| 2 | Acuity Scheduling | Appointment businesses with intake forms | $20/mo |
| 3 | Calendly | Sales teams on Salesforce or HubSpot | $10/seat/mo |
| 4 | Cal.com | Developers who want open source | Free, Teams $12/user/mo |
What a coach needs from a scheduling app
- Paid bookings. Client pays upfront, before the call.
- Packages. Sell 3, 5 or 10 sessions at once for more cash upfront and more commitment.
- Subscriptions. Monthly coaching that renews automatically.
- Reminders. Email (and ideally text) reminders to cut no-shows.
- Intake questions. Know what the client wants before the call.
- A page that sells you. Bio, testimonials and reviews next to the booking button.

Best value
Best for: solo pros who charge for their time
- Price
- Free plan. Individual Lifetime is $29 once. Pro is $12 a month or $99 a year.
I built TidyCal for coaches, consultants and tutors who want people to book and pay without a monthly bill. The Free plan has unlimited booking types and takes payment through Stripe or PayPal, with packages, subscriptions and discount codes included. It is not a sales-team router. If you run inbound sales on Salesforce, Calendly is the better pick.
Good
- Unlimited booking types and paid bookings on the Free plan
- Pay once: Individual Lifetime $29, Agency Lifetime $79 for up to 4 people
- Imports Calendly event types, bookings and contacts
Not so good
- Free and Lifetime plans pay a 1% platform fee on Stripe bookings. Pro does not
- No routing forms and no Salesforce
- Text reminders (US and Canada) need Agency Lifetime or Pro
- Automatic Zoom, Meet and Teams links need a Lifetime or Pro plan
- Round robin and a team page need Agency Lifetime or Pro
02
Best for: appointment businesses with intake forms
- Price
- No free plan, a 7-day trial. Starter is $20 a month ($16 billed yearly).
Squarespace's scheduling tool, built for salons, studios and clinics. It does what appointment businesses need: intake forms, packages, memberships, gift certificates and a waitlist. You pay monthly from day one, and the useful parts sit on the higher plans.
Good
- Gift certificates and a waitlist
- Signed HIPAA BAA on Premium
- Square or Venmo payments and up to 36 staff calendars
Not so good
- No free plan
- Packages, memberships and text reminders start on Standard at $34 a month
- Hiding the Acuity logo needs Premium at $61 a month
03
Best for: sales teams on Salesforce or HubSpot
- Price
- $10 per seat a month on Standard, billed yearly ($12 monthly). The free plan is one event type.
Calendly is good software and the name most of your clients already know. It pulls ahead on sales: routing forms and CRM routing on Teams and up. It hurts on the bill. The free plan is one event type, and payments start on Standard, per seat.
Good
- Routing forms and Salesforce or HubSpot routing (Teams and up)
- Zoom, Google Meet and Teams links on every plan
- SSO and SCIM on Enterprise
Not so good
- The free plan allows one event type
- Payments, packages and coupons start on Standard
- Round robin needs Teams at $16 per seat a month, billed yearly
- No one-time plan
04
Best for: developers who want open source
- Price
- Free for one user. Teams is $12 per user a month, billed yearly.
Open source, and you can host it yourself. The free plan for one person is one of the most generous here: unlimited event types plus Stripe and PayPal payments. Team features are per user, and there are more settings to learn than in simpler tools.
Good
- Self-host it or change the code
- Free plan with unlimited event types and payments
- Two-way Salesforce and HubSpot sync on the free plan
Not so good
- Round robin and collective events need Teams
- Removing Cal.com branding needs Teams
- More settings to learn than simpler tools

When a free Calendly link is enough
If you only run free discovery calls and take payment some other way, one event type is all you need, and Calendly's free plan covers it. The moment you add a paid session or a package, you are on Standard at $10 per seat a month billed yearly.
Checked, but not ranked
SavvyCal. Great for consultants with lots of 1:1 calls, because invitees can overlay their calendar on yours. It has no free plan, and taking payment needs Premium at $20 per user a month, which is a lot for a coach who charges for every session. TidyCal vs SavvyCal
How we checked
Every competitor price comes from that company's own pricing page, read on September 30, 2026, at the billing period shown next to it. Tools with no published price we could verify carry no dollar figure. The ranking is for one coach or consultant who charges for sessions. Nobody paid to be on this list. TidyCal's prices come straight from the plans we sell, so they match what you will pay, and the 1% platform fee on Stripe bookings is the live rate.
